What missed follow-up costs you

Recent mystery-shopping studies of real estate companies show how many inquiries never get a timely answer. Every one of them is a lead you already paid to get.

68%

of online inquiries got no response within 24 hours. Only 10% heard from an agent within an hour, and nearly 1 in 10 inquiry forms didn’t work properly.Pied Piper 2026 Real Estate Lead Handling Effectiveness Study, 2,198 inquiries to 21 large brands. Reported by Florida Realtors, October 2026.

47%

of online property inquiries went unanswered. The average response took 8 hours and 17 minutes, even though every inquiry was sent on a weekday during business hours.Mike DelPrete secret-shopping study, 100+ shops of 25+ brokerages, August 2024.

62%

of open-house visitors never got a follow-up. 42% of hosting agents never asked for contact information, and a third of those who did never followed up.Same Mike DelPrete study, August 2024.

3 in 4

of phone inquiries got no follow-up within 24 hours by call, text or email, even when the first call connected.Pied Piper 2026 study, reported by Florida Realtors. The report describes this as “nearly three-quarters.”

Commonly cited benchmarks on speed and persistence

These figures are widely repeated in sales and real estate, but their original studies are not always published. Treat them as rules of thumb, not measured results for your market.

~21x

Contacting a lead within five minutes is often cited as making it roughly 21 times more likely to qualify than waiting 30 minutes.Commonly cited speed-to-lead benchmark, often attributed to MIT research by James Oldroyd (2007). Related reading: Harvard Business Review, 2011.

~44%

of salespeople are often said to stop after a single follow-up. Many more are said to stop before the fifth.Widely repeated sales benchmark. The original source is not named, so read it as a rough indicator.

~80%

of sales are often said to take five or more follow-ups after the first contact.Widely repeated sales benchmark. The original source is not named, so read it as a rough indicator.

For mortgage lenders

40%

of mortgage inquiries got a phone call within 24 hours. The rest waited longer or never heard back.Mystery shop of 130+ lenders and 350+ internet leads by LeadQual, reported by National Mortgage Professional, January 2010.

Estimate what faster follow-up could be worth

These numbers are examples. Replace them with your own and the estimate updates as you type. The calculator starts with the inquiries you receive each month and removes the share that are answered within 24 hours. It applies your close rate and revenue per deal to the inquiries that go unanswered today, then shows what you could win back if follow-up were faster and more consistent. Add a monthly investment to see the return.

The 68% starting figure comes from the Pied Piper study above. The close rate, revenue per deal and recovery rate are placeholders, since they vary by market, price point and team. Close rate is the share of answered inquiries that become a closed sale or funded loan. Recovery rate is the share of missed leads you expect to reach and re-engage once follow-up is automatic. Use figures from your own records where you have them.

Revenue tied to unanswered inquiries, per year
$652,800
Revenue you could recover, per year
$130,560
Additional closings, per year
16.3
Return on your investment
17.1x

This is an illustration based on the numbers you enter, not a forecast or a guarantee of results. Return on investment is the recovered revenue minus your yearly investment, divided by that yearly investment. It does not subtract commissions, brokerage splits or other costs of closing a deal.

AI in real estate, explained

Plain answers before you decide whether a call is worth your time.

What does AI automation actually do for a brokerage or lender?

It handles the repeatable work that slows a team down. On the marketing side, it drafts listing descriptions, social posts, emails and ad copy for your team to review and approve, and it helps keep a steady flow of new leads coming in. On the follow-up side, it captures each inquiry in one place, sorts it by source and type, assigns it to the right agent or loan officer, sends a fast first reply and keeps reminding your team until the lead has a next step.

Your agents and loan officers still handle the conversations, showings, pricing discussions and negotiations. The automation takes care of the busywork around them so that no lead waits days for an answer. After setup, we stay on to manage the system and tune it every month based on what is working.

Will automated messages sound robotic?

They do not have to. Every message and nurture sequence is written with your input and approved by you before it goes live. We draft in your brand’s voice, using your tone, the way you talk to clients and the phrases your team already uses, and you decide what gets sent.

Messages are built around the situation: a new website inquiry, an open-house visitor, a lead that went quiet or a borrower waiting on a pre-approval. They name the property or the question the person asked, instead of sending the same generic note to everyone. Your agents and loan officers can still step in at any point, and a reply from a lead moves the conversation to a person. As we see which messages get replies, we adjust the wording in our monthly optimization.

Do we have to switch CRMs?

Not necessarily. We can clean up and organize the CRM you already use. If it’s the wrong fit, we’ll tell you during discovery.

What should we check on compliance?

Email, text and advertising rules apply to real estate marketing, and mortgage lenders have additional rules for how loans can be advertised and discussed. Your brokerage or company may have its own policies too. We build with consent and opt-out handling in mind, but your broker of record or compliance team should review messaging. We aren’t a law firm.

How do we know it’s working?

We start with weekly reports and adjustments. Once the system is fine-tuned, we move to monthly reports. Either way, you get a report that shows what happened to your leads, so you can see the effect on follow-up. It covers how many leads came in and from where, how many were contacted and how quickly, how many replied and how many requested an appointment.

We go through each report with you. We look at which sources and messages are producing conversations, where leads are stalling and what to change next, then we make those adjustments as part of ongoing optimization. The goal is for you to see the same thing we do: fewer missed leads and a consistent follow-up process.
